The Calendar page at /settings/calendar is the most feature-dense settings page in Vremly. It has up to four sections depending on your account type: Availability Status, Work Hours, Connected Calendars (if Nylas is configured for your workspace), and Calendar Subscribe URL. Agent accounts skip the Availability Status and Work Hours sections — those settings serve providers and technicians who execute shoots and need Vremly to know their schedule.
Availability Status has two toggles and a text field. 'Available for work' is a global on/off switch: when disabled, the dispatch system will not assign new jobs to you. 'Auto-decline new assignments' fires automatic declines for any incoming assignment while you're marked unavailable, so dispatchers don't have to wait for manual responses. The Availability Note is a free-text field (up to two rows) where you can leave a message like 'On vacation until Jan 15' — this note is visible to dispatchers. Each toggle saves immediately; the note has its own Save Note button.
Work Hours lets you define your regular schedule day by day. Each of the seven days (Monday through Sunday) is a row with a toggle switch that enables or disables that day. Enabled days show a start time and end time field in 24-hour input format (e.g. 09:00 to 17:00). When a day is disabled, its row shows 'Not working'. Make your changes across multiple days and click Save Work Hours once to commit them all. Vremly uses these hours as constraints when scoring dispatch assignments — jobs outside your working hours will not be offered to you.
Connected Calendars provides a live two-way OAuth sync powered by Nylas. Click Connect Calendar to open a dialog with two options: Google Calendar and Microsoft Outlook. Selecting either starts an OAuth redirect to the provider's authorization screen. After you approve access, the browser returns to /settings/calendar with a success banner and your calendar appears in the list with a green 'Connected' status badge and a 'Last synced' timestamp. From that point, every job assigned to you automatically creates or updates an event on the connected calendar. Use the Sync Jobs button next to a connected calendar to push all current assignments at once if you connected after being assigned several jobs. The Disconnect button removes the integration. If a token expires, the status badge changes to 'Expired' in yellow — reconnect using the same flow.
The Calendar Subscribe URL section is available to all account types and requires no OAuth — it generates a private ICS feed URL that any calendar app can subscribe to. Click the copy icon next to the URL field to put it on the clipboard. Three quick-add buttons are provided: Google Calendar (opens the Google Calendar subscription page with your URL pre-filled), Apple Calendar (uses the webcal:// protocol to open the system subscription dialog on macOS/iOS), and Outlook (opens the Outlook web subscription page). The subscription is read-only and updates automatically as jobs are added or changed. If you ever share the URL accidentally, click Regenerate in the Regenerate URL section at the bottom — this invalidates the old URL immediately and issues a new one, which you will need to re-add in all your calendar apps. On the Vremly iOS app, the Availability section (Settings > Availability, visible to providers and technicians) mirrors the Work Hours editor — days are shown as DisclosureGroup rows with a toggle and DatePicker controls for start and end time. Tap Save in the navigation bar when done.
Key Takeaways
- Set 'Available for work' to off and enable 'Auto-decline' when you're on leave — this keeps dispatch clean without manual rejections.
- Work Hours are used by the dispatch system to match jobs to your schedule — set them accurately.
- OAuth-connected calendars (Google or Outlook) provide automatic two-way sync; use 'Sync Jobs' after first connecting to backfill existing assignments.
- The ICS subscribe URL is a simpler, read-only alternative that works with any calendar app including Apple Calendar.
- Regenerate your ICS URL immediately if it is ever shared — the old link stops working the moment you regenerate.
