Lesson Notes

01

Calendar settings live at /settings/calendar. This page is accessible to all roles, though some sections are hidden for Agents. The first section — Availability Status — appears only for non-Agent users (Owners, Admins, Technicians, Project Managers, Editors). It contains an 'Available for work' toggle that, when turned off, signals to dispatchers that you should not receive new job assignments. A companion 'Auto-decline new assignments' toggle automatically declines incoming assignment requests when you are marked unavailable. You can also write a short Availability Note (for example, 'On vacation until Jan 15') that dispatchers can see when they look at your profile.

02

The Work Hours section, also hidden for Agents, lets each provider set their working hours per day of the week. Each day has an enable/disable toggle and time pickers for start and end time. Days marked as not working are excluded from dispatch scheduling. Save Work Hours persists the changes to the backend. This is the platform's primary tool for managing recurring availability without having to block off individual calendar days.

03

The Connected Calendars section appears only when the Nylas calendar integration is configured by the organization. It shows all currently connected calendar accounts (Google Calendar, Microsoft Outlook) with their sync status badge (Connected or Expired) and last sync time. The Sync Jobs button triggers an immediate sync of all assigned jobs to the connected calendar. The Disconnect button removes the calendar connection. Connecting a new calendar via 'Connect Calendar' initiates an OAuth flow — for Google this redirects through Google's consent screen; for Microsoft through Microsoft's. Both return to /settings/calendar with a success or error query parameter on completion.

04

The Calendar Subscribe URL section is available to all roles. Vremly generates a private, unique ICS feed URL for each user. Pasting this URL into any ICS-compatible calendar app (Google Calendar, Apple Calendar, Outlook) creates a live subscription that updates automatically whenever jobs are added, changed, or removed. The Copy button copies the URL to the clipboard. Quick-add buttons for Google Calendar, Apple Calendar (using the webcal:// scheme), and Outlook web are provided so you don't have to remember how each app handles subscriptions. If the URL is accidentally shared, the Regenerate button creates a new URL immediately, invalidating the old one.

05

Two-way sync via Nylas means changes made to a synced job in Vremly propagate to the external calendar, and external modifications to the event trigger a notification in Vremly. The ICS feed is one-directional — changes in the external app don't write back to Vremly. For technicians who primarily use Apple Calendar or Google Calendar on their phones, the ICS feed is often the simplest setup: one URL, no OAuth, works everywhere.

Key Takeaways

  • The Availability toggle and Work Hours settings control when dispatchers can assign you to jobs.
  • Two-way Google/Outlook sync requires a Nylas connection configured by the organization admin.
  • The ICS feed URL gives any calendar app a live, auto-updating view of your assigned jobs.
  • Regenerate the ICS URL immediately if it is accidentally shared — the old URL stops working at once.
  • The ICS feed is read-only from external apps; use the Vremly web app to make scheduling changes.
